Processing of Personal Data at Events

1. Personal data processed

In connection with member events (or similar), event registrations are processed. This information is confidential.

The following information may be collected from event registrations:
– First name
– Surname
– Telephone number
– E-mail address
– Special diets
– Date of birth or membership number
– Did the person participate in the event

Reasons why the above information is collected when registering for an event:
– To verify membership or eligibility, event communication, food service, and space requirements.
– Event attendance data: for service development and future service customisation and feedback surveys.

2. Persons processing personal data

Employees using the association’s website to process registrations.

3. Specific issues regarding the processing of personal data for this activity 

No personal data will be provided to catering or venue services, only the number of persons and special dietary requirements (no personal data, e.g. names). Exceptions to this are facilities where the organiser requires staff to be identified, e.g. public buildings.

4. Storage of personal data

Registration data is primarily stored in the event management system on the website of the association of Historians without Borders or as an excel file. Both are always protected by at least a password.

The person responsible for the practical organisation of the event is responsible for ensuring that personal data for event registrations older than 12 months are deleted from the systems.
