Historians without Borders Association newsletter register

4. Purpose of processing personal data

The data in the register is used to send newsletters. Information about events and campaigns is sent to list members.

The data generated from the sending and reading of the newsletter is used to monitor the circulation of the newsletter and to develop the newsletter.

5. Content of the register

The register contains a list of subscribers to the newsletter of the Association of Historians without Borders. None of the information below is collected from readers of the newsletter who are not on the subscriber list (e.g. if the newsletter has been forwarded or opened via a link shared elsewhere).

The following information is collected from subscribers when they join the list: email address and name.

When reading the newsletter, the following information may be recorded in the register: IP address, date and time of reading, device, browser or email server and information about which links the subscriber has clicked on in the newsletter.

6. Regular sources of information 

The e-mail address and name are based on the subscriber’s declaration. The information is entered in the register either by subscribing to the newsletter or by sending an e-mail to an employee of the association of Historians without Borders. In addition, all members are automatically included in the newsletter list.

When using the newsletter, information is automatically collected on how and when the newsletter has been read and which contents have been of interest. For more information on this, see section 5.

7. Regular disclosures of data 

Subscriber lists are stored on the MailChimp service, which is owned and operated by The Rocket Science Group, LLC d/b/a MailChimp.

8. Transfer of data outside the EU or ETA 

Subscriber list information is stored on a server located in Georgia, USA. The transfer of personal data between the EU and the US is governed by the EU-U.S. Privacy Shield Framework.

9. Principles for the protection of the register

The electronic subscriber list is stored on MailChimp’s server. The data is accessible to those employees of the Association of Historians without Borders who are responsible for the organisation’s communications. The service is password protected. The password will only be disclosed to those employees of theaAssociation of Historians without Borders who are responsible for the organisation’s communications. The passwords are encrypted so that they are only known to the users of the list and are not visible to the service provider.

Information on the addition and modification of data is stored in the register, as well as information on the means by which the data was added (added by a member of Historicists Without Borders staff/added by a subscriber).

The data protection of the system is the responsibility of MailChimp, which has security policies in place to protect data centres, applications, office space and data breaches. You can read about MailChimp’s security policy here.

10. RIGHT OF INSPECTION

Subscribers have the right to inspect and modify their data. This can be done in MailChimp by logging in via the link in the newsletter. You can also check your data by contacting the controller by email.

11. RIGHT TO REQUEST CORRECTION OF DATA

The controller must, without undue delay, on its own initiative or at the request of the data subject, rectify, erase or complete personal data contained in the register which are inaccurate, unnecessary, incomplete or out of date for the purposes of processing. The subscriber can correct his/her data himself/herself in MailChimp by logging in to the service via the link in the newsletter. The controller can be requested to correct the data by e-mail.

You can remove your data from the subscriber list by using the link at the end of the newsletter. In this case, the data will be automatically removed from the register in full. You can also delete your data by notifying the association, in which case the data will be removed from the register without undue delay.
