3. Name of the register
Register of members of the association of Historians without Borders in Finland.
4. Purpose of the processing of personal data
Membership data is used for the invoicing of membership fees and for member communications (membership letters and newsletters),
messages related to activities and campaigns). Membership data may be used to compile statistics, from which individual members cannot be identified.
5. Content of the register
The register contains a list of the members of the association of Historians without Borders in Finland. The register collects the data referred to in § 11 of the associations act in Finland; the full name and domicile of the members.
Contact details: the register contains the e-mail address of the members.
Membership data: the register contains the date of membership, membership number and membership fees paid by members. The register also contains information on permanent members.
Other information: The register collects members’ language information in order to target communications correctly.

The source of the register of members is the information provided by the members.
7. Regular disclosure of data
Members’ names and e-mail addresses may be disclosed to mailing service providers, for example for the purpose of sending membership letters.
8. Transfer of data outside the EU or ETA
The association may also use other service providers located outside the European Union or the European Economic Area to process personal data. The transfer of personal data outside the European Union or the European Economic Area is always carried out on one of the legal grounds mentioned below:
– The European Commission has determined that the recipient country in question ensures an adequate level of data protection;
– The association has implemented appropriate safeguards for the transfer of personal data using standard data protection clauses adopted by the European Commission. In such cases, the data subject has the right to obtain a copy of those standard clauses by contacting the association as described in the Contact Us section; or
– the data subject has given his or her explicit consent to the transfer of his or her personal data, or there is another legal basis for the transfer of personal data.
Access to personal data will not be granted beyond what is necessary for the provision of the services. Any transfer of personal data outside the European Union or the European Economic Area will always be based on and carried out in accordance with the applicable legislation on the processing of personal data.
9. Principles of protection of the register
The electronic register of members is protected from external access and the use of member data is monitored. Access to the register is restricted to those employees of the association of Historians without Borders who are responsible for membership invoicing and communication.
10. Right of inspection
Any person entered in the register has the right to inspect his/her data in the register. This can be done by contacting the contact person for the register by e-mail.
11. Right to request correction of data
The controller must, without undue delay, on its own initiative or at the request of the data subject, correct, delete or complete personal data in the register which are inaccurate, unnecessary, incomplete or out of date for the purposes of processing. Requests for rectification shall be addressed by e-mail to the contact person for the register.
12. Other rights relating to the processing of personal data
Every person who has been granted membership will be added to the association’s newsletter list in order to promote the association’s communications. Those entered in the register have the right at any time to request the removal of their data from this list. These access restrictions can be made by contacting the contact person for the register by e-mail or by using the button attached to each newsletter.
